How VitaPing handles personal information for the UAE regional website and UAE deployments.

1. Who operates this website
The UAE regional website is operated by VITAPING LTD, a private limited company registered in England and Wales under company number 17205180. This website does not represent that VitaPing is currently incorporated, licensed or established as a branch in the UAE unless a later page expressly provides verified UAE entity and trade-licence details.
2. Scope
This notice applies to the UAE regional website, enquiries, demonstrations, pilot discussions and any VitaPing service that expressly links to it. A UAE healthcare provider, school, employer, government body or other partner may act as a separate or joint controller for its deployment and may issue an additional notice.
3. Information we may collect
Depending on the interaction, we may collect contact details; organisation and role; emirate and preferred language; account and identity details; guardian or nominated-contact details; emergency information selected by the user or authorised representative; product identifiers; activation and access records; incident notes where enabled; support communications; security and diagnostic logs; consent and preference records; and essential website technology data.
Emergency profiles should contain only information relevant to the emergency purpose. Do not use the public contact form to send full medical records, identity documents, classified information or operationally sensitive Field details.
4. Why we use information
We use information to respond to UAE enquiries; design and evaluate controlled pilots; create and manage approved accounts; present the user-controlled emergency view; route approved contacts or notifications; support organisation programmes; protect the service; investigate incidents; meet legal and contractual obligations; and carry out separately governed TGMNI work.
5. Legal basis, consent and health information
We process personal information only for defined purposes and on a basis permitted by the law applicable to the activity. Consent is obtained and recorded where required. Other legal grounds may apply to contracts, legal obligations, direct care, safety, vital interests, public interest, research or other authorised purposes.
UAE health-sector deployments may be subject to additional federal and emirate-level requirements for patient consent, access control, confidentiality, information sharing, localisation and secondary use. These requirements are addressed with the relevant institutional partner before production use.
6. Emergency view and authorised access
A tap or scan may open a limited emergency view containing the fields approved for that view. Additional professional or organisation access, where offered, requires an authenticated, authorised and role-appropriate route. A technical activation does not prove that an emergency occurred or that assistance was provided.
7. Children, guardians and People of Determination
A parent, legal guardian or authorised representative must have authority to create or manage a profile for another person. VitaPing uses age-appropriate information, proportionate verification, data minimisation, role-based access and safeguarding routes. The product is intended to support dignity and communication, not to label or continuously track the person.
8. TGMNI and secondary use
Emergency identity information does not automatically enter TGMNI. Any secondary use requires a separately approved purpose, lawful authority, institutional ownership, data-minimisation plan, access controls, de-identification where appropriate, security review and human oversight. TGMNI is not used for public tracking, insurance underwriting, employment screening or autonomous medical decisions.
9. Sharing
Information may be shared with the user’s chosen contacts; authorised organisation users; emergency or healthcare professionals through an approved route; contracted providers; advisers or authorities where required; and approved TGMNI partners only under a separate written governance framework. VitaPing does not sell personal health information.
10. Hosting, service providers and cross-border access
The hosting location, controller and processor roles, support-access locations and permitted transfers for each UAE deployment are documented before production. VitaPing does not claim that all UAE data is hosted only in the UAE unless the production architecture and agreements confirm it. Where cross-border access or transfer occurs, the relevant legal basis and safeguards are documented.
11. Retention
We retain information only for the stated purpose, legal obligations and agreed programme requirements. As a default, enquiries may be kept for up to 24 months after the last meaningful contact; active profile information remains while the account is open and is normally removed from active systems within 90 days after validated closure; access logs may be kept for up to 24 months unless a deployment requires another period; security logs may be kept for up to 12 months; and contractual or financial records are retained as required by law. Deployment notices may set a different approved schedule.
12. Security
We use proportionate administrative, technical and organisational measures, including role-based access, authentication, protected storage, encryption in transit, logging, secure development practices and incident response. We publish certification, audit, localisation or penetration-test claims only where the exact scope is completed and evidenced.
13. Your choices and rights
Depending on the applicable law and deployment, you may be able to request access, correction, deletion, restriction, objection, withdrawal of consent or a copy of your information. We may need to verify identity or authority before acting. Contact contact@vitaping.ae.
14. Cookies and similar technologies
The public UAE website is intended to use essential technologies only unless optional analytics or other technologies are introduced with an appropriate consent mechanism. See the Cookie Policy and Cookie Settings for the current inventory and choices.
15. Complaints
Contact contact@vitaping.ae first so we can review the concern. The competent complaint or regulatory route depends on the emirate, sector, deployment and the legal role of each participating organisation. The applicable deployment notice will identify any additional escalation route.
16. Changes
We may update this notice when our products, providers, processing or legal obligations change. The effective date and version will appear at the top of the page, and material changes affecting registered users will be communicated appropriately.
